Sealed quotations are invited from reputed / enlisted transport service providers of the University to quote their lowest possible rate for supplying vehicles during the upcominginternational conference FCFA-2025scheduled to be held from 12/09/2025 – 14/09/2025.

The quotations must be submitted to the Convenor, Frontiers in Chemistry: Fundamentals to Applications – 2025 (FCFA-2025), Department of Chemistry, Presidency University (Main Campus), 86/1, College Street, Kolkata – 700073, West Bengal, India.

Last date & time for submission of quotation is 03/09/2025 up to 04:00 p.m.

Vendors are requested to quote their rates in the format given below:

Note: (a) The sealed cover should be duly superscribed with the Enquiry No.&Date and Name of the item quoted in block letter.

(b)Party is requested to keep in touch with Dr. Debobrata Sheet and Dr. Rimi Roy, Department of Chemistry, Presidency University (Main Campus), before quoting the rate for better knowledge of the requirements, specifications, and service expectations.

(c) The rates should be inclusive of all applicable taxes, and other chargesas stated in Point No.3 below.

(d) Vehicles must be well-maintained, air-conditioned, and have valid permits. In case of breakdown, the agency must arrange immediate replacement without extra cost.

(e) Drivers should be experienced, well-mannered, and familiar with local routes.

(f) The service must be available on-call during the entire duration of the conference.

(g) Indicatethe standard duty hours (e.g., 8 hours/80 km per day) beyond which overtime charges will apply. Also, night charges will be applicable for vehicle usage between 10:00 PM to 6:00 AM or as per vendor’s rule, that must be clearly mentioned in the quotation.

Terms & conditions of the Quotation:

1. The bidder must be GST-Registered (photocopy of the GST Registration Certificate to be provided along with the quotation). Quotations of the unregistered dealers would be summarily rejected.
2. The quotations should be made by the vendors in their original letterheads as per the given format.
3. Price quoted should be inclusive of GST, toll, driver charges, fuel, and parkingcharges.
4. Rate and amount of GST for each item is to be specified in the quotation.
5. Payment shall be made as per actual usage as stated in the Work Order and on submission of the bill and other necessary papers duly certified by the competent authority, Presidency University. No advance payment will be made.
6. The above Rate Format is to be strictly followed. In case a bidder is unable to quote the rate against any item, the rate should remain blank for the respective Serial No. But in no case the row against the said Serial No. should be deleted by the Bidder.
7. Validity of the quotation will be at least 03(three) months from the closing date of the enquiry.
8. Our Enquiry No.& Date and Work Order No. with Date must be quoted on all correspondences and those should be duly signed and seal.
9. The University reserves the right to accept or reject any quotation in part or full without assigning any reason thereto.
10. The bidder must submit scanned copies of the following documents:
    (a) Certificate of Incorporation (in case of company) / partnership deed (in case of firm) etc.
    (b) Valid trade license
    (c) Copy of the PAN Certificate
    (d) GST Registration Certificate
11. In all cases of disputes, the decision of the University shall be final & binding on you.
